SUMMARY: The office administrative coordinator is responsible for coordinating all daily office activities by organizing office operations and procedures while providing support to all levels of employees at the Seaboard Energy Plant in Guymon, OK.
Responsible for the accuracy of the bookkeeping, flow of correspondence, filing & requisition of supplies.
RESPONSIBILITIES:
Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
Greets visitors when they arrive at the administrative building.
Answering phone calls and providing information to callers.
Collection and disbursement of incoming and outgoing mail including expedited mail options.
Provide support to Plant Managers and staff with various reports, scheduling appointments, and preparing and submitting expense reports.
Prepares and processes all non-inventory purchase orders for Seaboard Energy Oklahoma.
Input of AP invoices in MP2 for Seaboard Energy Oklahoma.
Assist with company meat sales.
Partner and manage relationships with reliable vendors & suppliers.
Review new vendor information for accuracy before being set up.
Ensure that items are invoiced and paid on time.
Other duties may be assigned at management's discretion.
REQUIREMENTS:
High school diploma or GED required.
5+ years of general office experience preferred.
Strong Customer Service skills in person and over the phone with both internal and external customers required.
Advanced working knowledge of Microsoft Office, Excel, Word, and PowerPoint required.
Ability to effectively present information and respond to questions from managers.
Valid driver's license required.
Motivated self-starter that follows through with tasks to completion.
Organizational skills and the ability to follow up with multiple departments.
PHYSICAL DEMANDS: The employee must occasionally lift and/or move up to 10 pounds.
WORK ENVIRONMENT: The work environment varies from an office, Plant production, and outside climate conditions, based on the situation.
Noise level varies upon which area of production the employee is working in.
NORMAL WORK SCHEDULE: The hours and days of work are primarily Monday – Friday from 8:00-5:00.
Occasionally, overtime or changes in schedule will be required as special circumstances arise.
